This role manages all aspects of the events once a contract has been signed by the client and our winery's Events Director (who is responsible for sales and marketing).
The role includes some onsite client/caterer/supplier tours and meetings, while others can be done by phone or online, also event host staffing and training, with the majority of time spent offsite organizing the pre-event scheduling/staffing/deliveries/planning and pre/post event administration.
The coordinator must be personable, dependable, highly detail-oriented and able to readily meet clients/vendors at the winery. We have workspace available at the winery (at the bar!), but they will likely work from home with trips to the winery as needed.
The coordinator will also be ‘Event Host’ for some events if no other Host is available. The prime requirement here is for a few daytime events and more for being there at the beginning for those earlier evening events loading in 4-5pm and starting at 6-7pm, as our events team is currently ‘evenings only’ after their full-time jobs in the daytime. You’re welcome to recruit more Hosts, but this is the starting expectation, and it fits well with some visits to the winery for event coordination.
We typically have around 2 private events a week, rising to around 7 a week for the holiday season. In 2025, we had 10 daytime events in the year, but 24 events that started between 4pm-5pm, a bit early for the evening hosts to be there for load-in and at the beginning.
The daytime events vary each time, but may, for example, start with you opening up for a 10am load-in and setup with guests there from 12pm to to around 3pm before an hour’s clear up and load-out. The evening events also vary, but typically involve load-in at 4 or 5pm, with guests there from 6 or 7pm until 10pm (sometimes later) before clear up and load-out.
This is a part-time role, with the hours dependent on the flow of events. Currently, the role requires an average of 15 hours a week, including hosting some events, but often less (during September and October, the winery is closed off for harvest, so there’s less event prep in August & September) and more particularly in November & December holiday season (though we’re closed between Xmas and NY) when there are sometimes 2 events per day.
This is the perfect role for someone with other responsibilities or part-time work/projects. A prior Coordinator worked in the time available around a family and part-time job.
Duties
- The Coordinator will host some events if no other Host is available (and when initially training them to get up to speed on how events are done). - Take over all communication with the clients and their vendors once the contract has been concluded by our Event Director, who is responsible for sales, marketing and training/managing you.
- Coordinate and conduct client site visits with clients and vendors, almost always during weekday daytimes when we insist on meetings rather than on evenings/weekends.
- Take copious notes and ensure that client expectations for the event are both reasonable and met fully
- Organize all staffing of events. We have an existing team of part-time Hosts you would supervise and help recruit for over time.
- Manage the details of all client expectations and requests.
- Communicate details of each event to the winery Hosts who will be working each event.
- Manage all vendor relationships, primarily with caterers and party rental companies.
- Coordinate all rental deliveries.
- Maintain up-to-date paperwork for all outside vendors.
- Request invoices, chase and process pre/post event payments, and track all revenues.
- Over-deliver on client expectations with every detail remembered and care taken.
Required
- Car and based readily close to Woodside Rd exit of 101, Redwood City.
- Flexibility with hours. The range is 10 to 20 hours a week, averaging 15 hours.
- Desire to be our Host at some events, which are typically weekday daytime/evening and some weekends when you want more hours and $'s.
- A natural host who shines when putting on social events and puts clients at ease.
- Client-facing experience.
- Happy moving some tables, chairs, etc., and occasionally moving 50lb cases of wine to the bar.
- Interested in learning more about wine and events! Experience with event planning and appreciation of wine is a plus, but not necessary.
- Computer savvy (total comfort with spreadsheets and technology vital, experience with Google Docs/Email/Sheets would be a plus).
- Smartphone and laptop.
Compensation: Previously $27 per hour, average 15 hours a week, plus significant gratuities (averaging over $6k for the last 2 years) for hosting events and for additional services/wine sold.
